Job Description Job Description Assistant to Senior Director of Systems & Operations EcoWater Systems of Southern California Vista, CA (In-Office with Occasional Local Event Support) Full-Time | Exempt or Non-Exempt (To Be Determined) About EcoWater Systems of Southern California EcoWater Systems of Southern California is a leading provider of residential and commercial water treatment solutions throughout Southern California. This role supports the infrastructure and internal systems that allow our organization to scale with discipline and integrity. Position Overview The Assistant to the Senior Director of Enterprise Systems & Operations plays a critical support role in maintaining organizational structure, internal communications, marketing coordination, systems access logistics, and company culture initiatives. This position is execution-focused and organizational in nature. It allows senior leadership to focus on enterprise strategy, system design, and operational growth. This is not a management or enforcement role. Key ResponsibilitiesSystems & Administrative Support Assist with onboarding and offboarding logistics related to system access and hardware (phones, tablets, laptops) Maintain detailed checklists and documentation for access coordination Coordinate with IT vendors under direction Track internal system updates and access requests Marketing Materials & Swag Coordination Organize and maintain marketing materials, swag, and sales kits (non-product inventory only) Track quantities and storage of materials in secured areas Coordinate reorders through approved vendors and HR Support company swag initiatives and distribution tracking This role does not manage product inventory, filters, warehouse stock, or office supply purchasing. Intranet & Internal Communications Assist in maintaining the company intranet Upload documents, training materials, links, and announcements Help curate and organize internal photo gallery and company history Support production of the monthly internal newsletter (Insider’s Insight) Maintain archives of company communications and highlights Event & Vendor Coordination Support Assist with internal company events, trainings, and meetings Coordinate logistics and assets with external vendors (marketing, video, printing) Support preparation of agendas, signage, and presentation materials Facilities & Project Coordination (Support-Level) Assist with tracking facilities-related projects and improvements Coordinate schedules with maintenance contractors under direction Maintain timelines and documentation (no budget authority) Phase 2 Growth Responsibilities (As Role Expands) Support execution of approved social media content Assist with local digital engagement initiatives Organize campaign assets and marketing materials Maintain content calendars and digital asset libraries What This Role Is Not To ensure clarity and success, this position does not: Manage product or filter inventory Order office supplies Handle accounting, payroll, or invoicing Independently direct departments Act as an accountability or enforcement role Qualifications Strong organizational skills with high follow-through Excellent written and verbal communication Comfortable coordinating across teams and vendors Tech-savvy and able to learn systems quickly Experience with intranets, basic CMS tools, or internal communications preferred Event coordination or administrative support experience a plus Professional, detail-oriented, and dependable What Success Looks Like Improved organization and accessibility of internal materials Smooth onboarding and offboarding support Consistent and professional internal communications Reduced operational burden for senior leadership Strong support of company culture and events Why This Role Matters This role supports the systems, structure, and culture that allow EcoWater SoCal to grow with excellence.
